This page explains what personal data Jollyvent collects through this website, why, who handles it, how long it is kept and what your rights are.
Who is responsible
Jollyvent is a student association under STUVO. For any question about your personal data, or to use one of your rights below, contact us:

What we collect and why
We only collect what you type into a form. The site has no advertising, no tracking cookies and no analytics.
- Seminar registration: first and last name, email address and, if you want, what and where you study. We use it to manage the seats and the waitlist and to email you about the seminar you registered for (confirmation, changes, cancellation). Registering does not subscribe you to the newsletter.
- Join us: first and last name, email address and, if you fill them in, your phone number, study or job, the topics you are interested in, a message and how you heard about us. We use it to reply to your application and to contact you as a member or volunteer.
- Contact and Work with us: your name, email address, organisation (Work with us, optional), topic and message. We use it to answer you.
- Suggestions and feedback: your message and, only if you fill them in, your name and email address. You can stay anonymous; then we cannot reply.
- Newsletter: your email address, only when you tick the newsletter box or press "Yes, keep me posted". We record when and where you agreed and the exact wording you saw, so we can show your consent.
To protect the forms against spam we also keep a scrambled (hashed) version of your IP address, from which your real IP address cannot be read back.
Legal basis
- Newsletter: your consent. You can withdraw it at any time with the unsubscribe link in every newsletter.
- Seminar registration, Join us, Contact, Work with us and feedback: the steps you ask us to take (registering you, answering you) and our legitimate interest in running the association.
- Spam protection: our legitimate interest in keeping the forms safe.
Your data is used only by Jollyvent. We never sell it or share it with anyone for their own purposes.
Who else handles your data
These services process data for us, under contract and only on our instructions:
- OVHcloud (France) hosts the website and its database.
- Brevo (France) sends our emails and keeps the newsletter list and a list per seminar.
- Cloudflare runs the spam check on our forms (Turnstile) and our domain name.
How long we keep it
- Seminar registrations: 24 months after the seminar.
- Join us applications that did not lead to membership: 12 months; declined applications: 6 months.
- Messages (Contact, Work with us) and feedback: 24 months after we close them.
- Newsletter: until you unsubscribe.
- Proof of your consent: 3 years after you withdraw it or ask us to delete your data, with your email address replaced by a code.
After that, the data is deleted automatically.
Your rights
You can ask us to see, correct or delete your personal data, to limit or object to how we use it, or to receive it in a usable file. Write to sanan@jollyvent.com; we answer within one month.
If you think we handle your data wrongly, you can complain to the Belgian Data Protection Authority (www.dataprotectionauthority.be).
Changes
When this policy changes, we update the date at the top of this page.
